How we handle your personal data.
Advantage Utilities is committed to protecting your privacy. This policy explains what information this website collects, how we use it and your rights under UK data protection law.
1. Who we are
The data controller for this website is Advantage Utilities Limited, registered in England and Wales (company number 4319909), whose registered office is at Beacon House, South Road, Weybridge, Surrey, KT13 9DZ.
You can contact us about data protection matters by email at info@advantageutilities.com or by phone on 0207 371 5360.
2. What information we collect
When you submit an enquiry form on this site, we collect the following information you provide directly: first name, last name, business email address, phone number, company name and any optional message. The bill-review form also accepts an uploaded energy bill (PDF, JPG or PNG, up to 10 MB).
Alongside your form submission, our systems automatically record: the page URL and title, referring website, submission timestamp, Google click identifiers (gclid, gbraid, wbraid, msclkid), UTM marketing parameters, your Google Analytics client ID, browser user agent, preferred language and screen resolution.
3. How we use your information
We use the information you submit to respond to your enquiry, carry out the energy review or quote you requested, and measure the effectiveness of our advertising. For Google's Enhanced Conversions service, your email address and phone number are hashed using SHA-256 on our server before being shared with Google; the unhashed values are not passed.
4. Storage and sharing
Uploaded bills and a CSV audit log are stored on our web hosting server in a directory outside the public web root. Your enquiry details are forwarded automatically to a self-hosted automation instance running on a Hetzner VPS (Germany, EU) and emailed to the Advantage Utilities team. Enquiries may also be added to our CRM system (HubSpot, EU data centres).
We do not sell your personal data. We do not share it with any third party other than those described above and the advertising measurement platforms named in section 3.
5. Lawful basis
We process your data on the basis of legitimate interest and steps taken prior to entering a contract, specifically to respond to your enquiry and provide the service you have requested. Where you tick the consent checkbox on a form, we also rely on your consent for marketing follow-up.
6. How long we keep your data
We retain lead data for as long as it is relevant to the enquiry and to our advertising measurement obligations. Our current estimate is 24 months from the date of submission, after which records are deleted. (Note to Advantage Utilities: please confirm this retention period with your legal adviser.)
7. Your rights
Under the UK GDPR you have the right to: access the personal data we hold about you; ask us to correct inaccurate data; ask us to erase your data; restrict how we process your data; receive your data in a portable format; and object to processing where we rely on legitimate interest.
To exercise any of these rights, contact us at info@advantageutilities.com.
If you believe we have handled your data unlawfully, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
8. Changes to this policy
We may update this policy from time to time. The current version will always be published at this address.
